Responsibilities:
  • Manage daily administrative and operational activities, including scheduling, correspondence, and property inspections.
  • Monitor and maintain inventory of consumables and company assets, ensuring accurate records and accountability.
  • Oversee facilities management activities, including housekeeping, preventive maintenance, and overall property upkeep.
  • Handle procurement processes such as purchase requisitions, vendor sourcing, bid evaluations, purchase orders, and supplier coordination.
  • Build and maintain strong vendor relationships while negotiating competitive pricing and service agreements.
  • Ensure compliance with regulatory requirements by managing permits, licenses, contracts, and insurance renewals.
  • Maintain accurate operational records, reports, databases, trackers, and documentation.
  • Coordinate the dissemination of operational updates, safety advisories, and other company communications.
  • Monitor operational expenses, billings, collections, and petty cash to ensure adherence to budget and accounting procedures.
  • Review supplier and contractor billings and facilitate timely processing of payments.
  • Conduct customer feedback surveys and support initiatives that enhance client satisfaction and service quality.
  • Identify opportunities to improve administrative and operational processes for greater efficiency and effectiveness.
  • Participate in company meetings, trainings, and professional development programs.
Educational requirements:
  • Bachelor’s College Degree in Business Administration, Tourism/Hotel and Restaurant or other related courses.

Qualifications:
  • Proven experience as an Administrative Analyst. Experience in property management/facilities management is an advantage.
  • Willing to work on site.
  • Amenable to work six (6) days a week.
